Make a daily plan that includes the space between tasks

A free daily planning worksheet for fixed commitments, task estimates, travel, and a realistic fallback.

Published October 15, 2026 · Programming Securely · Original exercise with illustrative examples

Start with what is already fixed

List appointments, travel, care responsibilities, and any time you have already promised. Use actual start and finish times where you know them. A calendar event and a task are different: an event reserves a time, while a task still needs a place in the day. Reading an imported calendar does not mean a new task has been scheduled.

Estimate the whole task

Preparing materials, setting up, cleaning up, and switching attention all take space. Break a vague item into a first visible action and estimate that action. Leave room for uncertainty instead of filling every gap with your best-case estimate. If the day is already full, choose what will move before adding another commitment. My Calendar Todo combines planning, tasks, and calendar views; the worksheet remains a simple draft.

Choose a fallback before the day changes

Name the one action you most want to protect and a smaller version you could still do if an appointment runs late. At the end of the day, compare an estimate with what happened so tomorrow’s plan uses better information. This worksheet does not access or update Google Calendar, create reminders, or save tasks to an account. Download the plan if you want to keep it.

Worked example

A small situation to try

Illustrative day: a 9:00 appointment includes 20 minutes of travel each way. Instead of treating 10:00 as instantly free, the plan leaves a return buffer. A 45-minute paperwork block becomes “find and sort the forms” if the morning overruns. The optional cupboard tidy moves to another day.

Your working notes

This worksheet does not send your writing to My Calendar Todo, save it to an account, or store it in your browser. Notes are cleared when you leave or reload this page. Download a text copy if you want to keep them.

Include start/finish times and transitions.

Name the first visible action, setup, and cleanup.

Choose an available block without using every spare minute.

Protect a useful minimum and explicitly defer something optional.

What to do next

Use what you learned

  1. Compare the draft with your actual calendar before making commitments.
  2. Review one estimate afterward and adjust your next plan.
